Pre-arrival Tasks

Want to learn more about what to expect prior to your start at HubSpot? 

Prior to your first day:

You'll receive an email from Workday, our HR system, where we maintain all your information. This is where you'll complete your onboarding tasks, except for the Right to Work Check which will be sent to your email. When you log in to Workday, you'll have pending items in your inbox. If you are having any difficulty logging in to Workday, please email workday-support@hubspot.com.

New to UK?

If so, check out this document for information on how to get your NI Number, open up a UK GBP currency bank account, and more. We recommend you apply for your NI number as soon as possible as this may take a number of weeks.

Payroll: Timeline

Payroll is processed on a monthly basis. To receive your first payment the month you are starting, you must complete all Workday tasks by the 8th of the month. If your information is submitted after the 8th, you'll receive payment the following month. You can view more details regarding payroll here.

It is vital that you do have all of the below to be included in the payroll.  If you require any assistance or guidance please reach out to the payroll team as soon as possible.

Right to Work Check

In line with local regulations, we ask all of our new hires in the UK to upload work authorization documents to a right-to-work check software called GoVerify, operated by our external vendor Deloitte.

The GoVerify tool is a digital right-to-work check that provides you with a step-by-step guide to confirming your work authorization. Please keep a lookout for an email from GoVerify over the coming days, kick-starting your right-to-work check.

  • Medical & Dental: 
    • All UK residents are entitled to medical and dental treatment from the National Health Service (NHS). NHS services are funded through employees National Insurance contributions and general taxation. 
    • HubSpot offers employees supplemental coverage for healthcare and dental insurance. HubSpot pays 100% of the annual premium for employees and 50% for dependents; all employer contributions to supplemental coverage (PMI) are considered taxable income to the employee.
    • You'll be prompted to make your benefit elections in Workday on or after your start date. All benefits are effective your start date, and you’ll have 25 days from your start date to decide if you’d like to enrol yourself and your eligible dependents.
  • Life Insurance: You’ll be automatically enrolled in the life insurance policy.
  • Pension: The pension is through Aviva and follows the auto enrollment legislation using a one month postponement period.  This means that new hires into HubSpot UK will be assessed after their first month, then you will be auto enrolled in month 2. The auto enrollment is for a mandatory 4% employee and 5% employer contributions. You will have the opportunity to 'opt out' if you wish; or you can choose to contribute an additional AVC % on top of the mandatory contributions and this will be done through Workday.
