Pre-arrival Tasks

Want to learn more about what to expect prior to your start at HubSpot? 

Prior to your first day:

You'll receive an email from Workday, our HR system, where we maintain all your information. This is where you'll complete your onboarding tasks, except for the Right to Work Check which will be sent to your email. When you log in to Workday, you'll have pending items in your inbox. If you are having any difficulty logging in to Workday, please email workday-support@hubspot.com.

You are legally required to complete your onboarding tasks prior to your start date in order for us to submit the declaration of employment (DPAE) to the French authorities. 

Payroll: Timeline

Payroll is processed on a monthly basis. To receive your first payment the month you are starting, you must complete all Workday tasks prior to your start date.  Please note, we must register you with the French authorities at least 2 days ahead of your start date and need your French Social Security Number to do so, please ensure this task is completed in Workday 4 working days ahead of your start date so we can add you to the payroll in the month you are starting. If you cannot add this to Workday prior to your start date, please raise a ticket via HelpSpot, or email payroll@hubspot.com.

    • Nationality
    • French Address: Please ensure you provide a French address via Workday, if you are new to France and hold only a temporary address, please provide this and when you receive your permanent address please amend the details in Workday.  (Note: Address entries in Workday requires the layout to be as Address line 1, Address line 2, Address line 3 etc. DO NOT enter your full address in one field)
    • Social Security Number: To learn more, please refer to the expanding section titled "Social Security Number"
    • Bank Details: Payroll can facilitate salary payments to non French bank accounts provided the account of your choice is a EURO / SEPA bank account. If you are a new hire and would like your salary to be paid to a non French EURO account, or you are a transfer from another HubSpot entity and you would like to input French bank details, please email payroll@hubspot.com outlining the country where your bank account is held.

  • After your start date please raise a ticket on HelpSpot. (We will show you how to do this on your first day)
Right to Work Check

In line with local regulations, we ask all of our new hires in France to upload work authorization documents to a right-to-work check software called GoVerify, operated by our external vendor Deloitte.

The GoVerify tool is a digital right-to-work check that provides you with a step-by-step guide to confirming your work authorization. Please keep a lookout for an email from GoVerify over the coming days, kick-starting your right-to-work check.

Social Security Number

If you do not have a social security number you will need to complete the document called "S1106 Demande de l'ouverture de droits à l’Assurance maladie" that you can download here. Enclose this form with the following documents and go directly or send it by follow-up letter (lettre de suivi) to your local CPAM office:

For active person :
• Bank account number (Relevé d’identité bancaire in French)
• Passport, visa (if applicable)
• work contract + last payslip For an non-active person (for your partner):
• Bank account number (Relevé d’identité bancaire in French)
• Passport, visa (if applicable)
• 3 bills of electricity / gas, etc.

Benefits:
Above and beyond your social security level of healthcare coverage, we offer a free insurance plan (mutuelle) and an optional top-up coverage, which you can pay for, if you wish to enroll. You'll be prompted to complete benefit elections in Wokday, then will receive communications from Mercer and/or the Benefits team to complete registration for our free healthcare coverage. You will communicate directly with Mercer if you wish to enroll in our top-up coverage.
