Pre-arrival Tasks
Want to learn more about what to expect prior to your start at HubSpot?
Prior to your first day:
You'll receive an email from Workday, our People system, where we maintain all your information. This is where you'll complete your onboarding tasks, execept for the Right to Work Check which will be sent to your email. When you log in to Workday, you'll have pending items in your inbox. If you are having any difficulty logging in to Workday, please email workday-support@hubspot.com.
BSN (Burger Service Nummer / Citizen Service Number):
- Your BSN number is your personal identification number, and everyone who lives in the Netherlands is required to have one. It allows you to: open up a bank account, and to pay your taxes over your income, which are essentials before starting employment.
- It is vital you apply for a BSN at the earliest opportunity, there is plenty of guidance online on how to do this, for example here. Without a BSN, you cannot be processed on the payroll system.
- You will receive a BSN Number when you register at the municipality (or 'gemeente' in Dutch) . Everyone who moves to the Netherlands and plans to stay longer than four months is required to register themselves at the municipality within the first 5 days after arrival.
- In order to obtain the BSN, there are a few documents that you are required to provide:
- A valid passport (please note that a driver's license is not enough!)
- Non-EU members also need to bring a residence permit and employment contract if applicable
- An address to register as your home address
- Some municipalities only process registrations via a pre-scheduled appointment. Getting one can take a few weeks and delay the process of getting a BSN Number. We therefore advise you to make an appointment as soon as possible upon arrival.
- It is possible to apply for a BSN while still abroad, before you arrive. It is also possible to pay a fee to the expat center in Amsterdam to have a BSN number issued right away
Bank Details
- Payroll can facilitate salary payments to non Dutch EURO / SEPA bank accounts as a temporary measure while you open a local account. If you would like your salary to be paid to a non Dutch account please Submit a Ticket (or email payroll@hubspot.com if you have not started yet) outlining the country where your bank account is located.
Payroll is processed on a monthly basis. To receive your first payment in the month you are starting, you must complete all Workday tasks prior to the 8th of the month, if completed after the 8th, payment will be received the following month.
It is vital that you complete all of your Workday Tasks or you cannot be processed on the payroll.

As part of the Workday tasks you will need to provide the following documents prior to your start date:
- Wage Tax Certificate - Please ensure you provide a completed and signed Wage Tax certificate as without this, the wage tax credit cannot be applied. Please note an electronic signature is acceptable. Any delay in submitting this form will affect your pay and taxes. Please be aware any additional taxes paid by you can only be adjusted as part of your end of year tax return.
- Identity Verification - Please provide a copy of your Dutch identity card (both sides) or your Passport (photo page), this is needed to verify your identity. This is a requirement for payroll and this must be provided before your first day at HubSpot. ***We cannot accept your driving license as proof of identity***
As part of your Workday tasks in order for us to process you on the payroll you will need to enter the following information ideally as soon as possible, and no later than the 8th of the month:
- Nationality
- Gender - Please select either Male or Female. The legal gender is required as it forms part of the payroll reporting to authorities
- Marital Status
- Partners Birth Surname - applicable if married
- Date of Birth
- BSN Number
- Bank Details - Payroll can facilitate salary payments to non Dutch EURO / SEPA bank accounts as a temporary measure while you open a local account. If you are a new hire and would like your salary to be paid to a non Dutch account, or if you are a transfer from another HubSpot entity and would like to input Dutch bank details, please Submit a Ticket (or email payroll@hubspot.com if you have not started yet) outlining the country where your bank account is located.
- Dutch Address - Please ensure you provide a Dutch address via Workday, if you are new to the Netherlands and hold only a temporary address, please provide this and when you receive your permanent address please amend the details in Workday. (Note: Address entries in Workday requires the layout to be as Address line 1, Address line 2, Address line 3 etc. DO NOT enter your full address in one field)
In line with local regulations, we ask all of our new hires in the Netherlands to upload work authorization documents to a right-to-work check software called GoVerify, operated by our external vendor Deloitte.
The GoVerify tool is a digital right-to-work check that provides you with a step-by-step guide to confirming your work authorization. Please keep a lookout for an email from GoVerify over the coming days, kick-starting your right-to-work check.
HubSpot will provide you with a monthly allowance to pay for your medical/dental, life and AD&D coverage. The monthly amounts listed below are determined by coverage levels.
- Employee Only: €250
- Employee + 1 (Spouse, Domestic Partner, or Child): €500
- Family: €500
Please note that on or after your start date you will also be prompted to select your benefits allowance and provide additional information for any covered dependent(s) through Workday.
