Pre-arrival Tasks

Want to learn more about what to expect prior to your start at HubSpot? 

Prior to your first day:

You'll receive an email from Workday, our HR system, where we maintain all your information. This is where you'll complete your onboarding tasks, except for the Right to Work Check which will be sent to your email. When you log in to Workday, you'll have pending items in your inbox. If you are having any difficulty logging in to Workday, please email workday-support@hubspot.com.

If so, here is some helpful information on how to set up your Public Health Insurance, Social Security Number (Sozialversicherungsnummer), German Tax ID and more.

Payroll Requirements

Payroll is processed on a monthly basis. To receive your first payment the month you are starting, you must complete all Workday tasks prior to the 8th.  If your information is submitted after the 8th, you'll receive payment the following month.

It is vital that you do have all of the below information such as German Tax ID, Social Security number and Health Insurance company and that you complete all of your Workday Tasks or you cannot be processed on the payroll.

  • After your start date please raise a ticket on HelpSpot. (We will show you how to do this on your first day)
Workday Tasks
You will receive an email from Workday titled “Welcome to HubSpot Onboarding!” with all the relevant information to complete the necessary pre-arrival tasks.
  • HEALTH INSURANCE: All employees are required to register with one of the Germany public health insurance companies. Within your onboarding tasks in Workday, you will be required to provide the name of your Germany public health insurer and if you avail of private health insurance, you will need to upload the following documents, §257 SBG V und §61 SGB XI, you receive from the private health insurance company and forward this document via a ticket to the payroll team (you'll learn how to do this during onboarding!).
  • Date of Birth
  • City of Birth
  • Nationality
  • German Address: Please ensure you provide a German address via Workday, if you are new to Germany and hold only a temporary address, please provide this and when you receive your permanent address please amend the details in Workday.
  • German Tax ID Number⁠ — If employees don't provide a Tax ID Number, they will be subject to the highest tax rate (tax class 6) until they do so.
  • German Social Security Number (Sozialversicherungsnummer)
  • Bank Details: Payroll can facilitate salary payments to non German bank accounts provided the account of your choice is a EURO / SEPA bank account. If you are a new hire and would like your salary to be paid to a non German EURO account, or you are a transfer from another HubSpot entity and would like to input German bank details, please email payroll@hubspot.com outlining the country where your bank account is held.
Entry and Residence Requirements / Tax Identification Number

As an EU citizen, you do not need a visa to enter Germany, but you should travel with your passport. You will need to obtain your German Tax Identification number to work in Germany.

To obtain your German Tax Identification number, all new employees should register at their local Einwohnermeldeamt (registration office) within 14 days of their arrival, if they are staying in Germany for more than 3 months. Please note that in some places, the Einwohnermeldeamt is known as the Kreisverwaltungsreferat (KVR) or a Bürgerbüro. More information can be found at the Federal Ministry of the Interior website here. Employees should ideally complete this process before their start date at HubSpot.

When you go to the Einwohnermeldeamt, you should take your passport and proof of your home address with you. You will also need to confirm your family status (marriage/divorce certificate) and your church membership (there is a small church related tax in Germany). Employees should state that they are commencing work in Germany.

Ensure that your name is on the post box where you live. By not having your name on the post box could result in the post not being delivered. A copy of the registration should be sent to HubSpot. You should also receive your German Tax identification number within a few weeks, which should also be sent to HubSpot.

 

Health Insurance

All employees are required to register with one of the Germany public health insurance companies. The public health insurer will issue a social security number (SVNR). The social security number is mandatory for payroll processing. Without a social security number, you cannot be registered on the payroll system and no payment will be processed, resulting in no salary.

If you qualify for private health insurance, you are still required to be registered with a Germany public health insurance company for the pension and unemployment contributions, as the private health insurance only covers the health insurance and nursing insurance.

Bank

Payroll can facilitate salary payments to non German bank accounts provided the account of your choice is a EURO / SEPA bank account. If you would like your salary to be paid to a non-German EURO account please email payroll@hubspot.com outlining the country where your bank account is held.

Right to Work Check

In line with local regulations, we ask all of our new hires in Germany to upload work authorization documents to a right-to-work check software called GoVerify, operated by our external vendor Deloitte.

The GoVerify tool is a digital right-to-work check that provides you with a step-by-step guide to confirming your work authorization. Please keep a lookout for an email from GoVerify over the coming days, kick-starting your right-to-work check.

Accommodation Info

For accommodation, we recommend you checking out: Immobilienscout24, Spotahome, Wunderflats, Thehomelike.com and Airbnb. Just make sure you deal with a legitimate property owner, rental agency or estate agency.

Onboarding Note:

As of right now, our onboarding experience for all our new hires outside of Dublin is held entirely remote. All of the incoming employees outside Dublin will log into their HubSpot computers and accounts from their homes to create an equitable and consistent onboarding experience. Following the remote onboarding experience, if you are a @flex employee, you will be able to follow local guidance and your manager will be able to advise further on how to access the office.
