Australia Pre-arrival Tasks

Want to learn more about what to expect prior to your start at HubSpot? 

Prior to your first day:

You'll receive an email from Workday, our HR system, where we maintain all your information. This is where you'll complete your onboarding tasks. When you log in to Workday, you'll have pending items in your inbox. If you are having any difficulty logging in to Workday, please email workday-support@hubspot.com.

Payroll Timeline:

Payroll is processed on a monthly basis. To receive your first payment the month you are starting, you must complete all Workday tasks 2 days ahead of your join date. If your information is submitted after the deadline, you'll receive payment the following month.

1. Complete Superannuation questionnaire. For guidance on how to submit your Superannuation details, please review this file.
 
2. Tax File Number Declaration Form (TFN) : By completing this form, it allows our payroll vendor to work out how much tax to withhold from payments made to you. Please ensure all questions in the form are completed.
 
For non-Australian employees who does not have the TFN number and waiting for the TFN number, when completing the 1st question in the TFN declaration form, please select the 1st selection "I have made a separate application/ enquiry to the ATO for a new or existing TFN".

Once you have received your TFN number, please update it in your WD profile (refer to this KB article on how to update for internal employees only) and also to re-update the TFN declaration form with your TFN number and submit the updated form to payroll team by raising a ticket via HelpSpot.

Workday Tasks
  • You must complete the following onboarding task in Workday:
    1. Provide your Legal Name as per your National ID Card/ Passport
    2. Date of Birth
    3. Gender
    4. Nationality
    5. Residential address in Australia
    6. National ID: Tax File Number
    7. Australian Bank details
    8. Complete Superannuation questionnaire. For guidance on how to submit your Superannuation details, please review this file.
Right to Work Check

In line with local regulations, we ask all of our new hires in Australia to upload work authorization documents to a right-to-work check software called GoVerify, operated by our external vendor Deloitte.

The GoVerify tool is a digital right-to-work check that provides you with a step-by-step guide to confirming your work authorization. Please keep a lookout for an email from GoVerify over the coming days, kick-starting your right-to-work check.

Benefits:

HubSpot will provide you with a monthly allowance to pay for your health insurance, life insurance, total permanent disability, and income protection plans. The annual amounts listed below are determined by coverage levels and they are pro-rated based on your start date.
  • Employee Only: $2,000 AUD
  • Employee + 1 (Spouse, Domestic Partner, or Child): $3,000 AUD
  • Family: $4,000 AUD

In order to meet our payroll cutoff deadline, please complete the "Benefit" task as part of your Workday onboarding task.You will also be prompted to select your benefits coverage and provide additional information for any covered dependent(s) through Workday.
